Compare and Migrate Part Numbers Overview
Access: Actions: Compare and Migrate Part Numbers...

The Compare and Migrate Part Numbers tool allows stocklisters to transfer their Legacy, Alternate Part numbers, and/or cost to the AutoSPRINK parts database using an Excel file. The Compare and Migrate Part Numbers option is most efficient for users who are attempting to batch merge files. The Link Part Numbers option is more efficient for users who want to merge by filtering specific parts.

The Compare and Migrate Part Numbers tool compares existing identification features of parts stored in the parts database, such as Legacy Part Number, Alt Part Number, or Item Code and Size, to an identification feature in an imported Excel file, and merges alternate part numbers in order to link the alternate number from the imported excel file to information in the parts database.

For example, if a user merges by Legacy part number and specifies that the Legacy part number is contained in column 2, all Legacy part numbers in column 2 will be compared to part numbers that already exist in the parts database. Legacy part numbers that match those already in the parts database will then merge the alternate part number from the specified column in the Excel file.

Users must have a column in the imported Excel file with information that matches Legacy Part Number, Alt Part Number, or Item Code and Size already stored in the parts database in one column and an alternate part number they wish to associate in another column. Entries that do not match any parts database parts that are in the column specified in the Choose How To Merge section appear red and will not be merged. The Alternate # drop-down menu allows users to select which column in the Excel file has values for Legacy Part Number, Alt Part Number, or Item Code and Size. The Alternate, Legacy #, and Cost drop-down menus in the Choose What To merge section allow users to choose a field from the Excel file that has Alternate or Legacy part numbers the user would like to be associated with stored parts database information.

Select Compare and Migrate Part Numbers... from the Actions menu.

Select an Excel file with Legacy part number, Alt part number, or Item Code and Size stored in one column, and Alternate part number, Legacy part number, and/or Cost stored in (a) separate column(s).

Click Open.

Select Legacy Part Number, Alt Part Number, or Item Code and Size from the Merge By drop-down menu.

Select the column number where the associated information is stored in the ItemCode, Alternative #, or Legacy # drop-down menu.

The title of the menu will change when a selection is made from the Merge By drop-down menu. Users may also associate an Item Size by using the Item Size drop-down menu.

Use the Alternate #, Legacy #, and Cost drop-down menus to choose (a) column(s) where the information that should be merged is contained.

Click Merge.

The data is now merged to the parts database.
